Policy Services Associate – Operations Department

REPORTS TO:
AVP, Director of Policy Services

POSITION PURPOSE

The Policy Services Associate is responsible for the management and implementation of all new business and ongoing policy servicing. They will work with the client success team to facilitate the completion of all new business and ongoing policy servicing in a timeline and accurate manner. This position interacts with our clients, sales advisors and insurance carriers.

 

Essential Functions and Responsibilities (including but not limited to)

  • Manage new business process from case approval to policy issue
    • Complete and prepare new business applications
    • Process applications upon receipt of signed documents
    • Input information into internal database for reporting
    • Track and document status of submitted cases
  • Manage, track and control monthly values from insurance carriers and load into MINTS
  • Manage, track and process Policy Changes & the necessary policy modifications to MINTS
    • Policy Changes include but not limited to:
      • Death Claims
      • Owner and Beneficiary Changes
      • Surrenders
      • Policy Option changes
      • Investment subaccount changes
    • Manage, Track and Process Change of Brokers and Policy Authorizations
      • Includes necessary modifications to MINTS database
    • Perform mortality sweeps
    • Communicate status of activities associated with the responsibilities listed above to the AVP of Policy Services, and coordinate with all applicable parties internally and externally to Newcleus.

Requirements:

  • Well organized and detail-oriented with the ability to maintain organization in a changing environment.
  • Communicate effectively both in written format and oral presentation.
  • Multi-tasking and ability to establish priorities with your manager.
  • Able to maintain flexible attitude and approach towards assignments and successfully operate under ambiguous guidelines.
  • Proficient in MS Office Software- Word, Excel.
  • Manages difficult client/customer situations, responds promptly to customer needs.
  • Responds in a timely manner to requests for service and assistance to meet commitments.
  • Ability to take initiative and maintain responsibility, flexibility and exhibit leadership. 

Preferred Experience:

  • Knowledge of Life Insurance applications and serving
  • Knowledge of Annuity placement and servicing
  • Death Claims Processing
